Introduction

The aims of this report is to examine the problem of the rising level of waste in our company and propose imporving measures. This report is composed upon the Managing Director's request and the information presented here below is based on investigation through questionaires and my observation. 


Finds

It was found that the level of waste is paritcularly high in the Sales Department because of the inherent character of the business conducted by this department. Since contacting customers is the key daily routine of the Sales Department, it naturally follows that the use of telephone and commuting vehicles is indispensable. Yet som staff members tend to use company telephone and commuting vehicles to serve private purposes. For example, incessant babbling on the phone with their friends and relatives and using the company cars to serve their private purposes will inevitably add to the company's unnecessary overheads.


Conclusion

Based on the investigation, it is concluded that the high level of waste in the Sales Department is worth worrying and needs to be redressed as soon as possible.


Recommendations

It is well adivsed for the management of the company to take the following measures to make improvements:

  • Introduce a telephone card system which can keep electronic recordings of the talk on the phone.
  • Adopt the business practice of signing permission slip of car use by company executives, which is to be counter-signed by the visited customer.

Introduction

This proposal sets out to summarise the problems caused by the poor communication between departments of our company and suggest possible ways of imporving the situation. The analysis is based on data collected by way of questionaires dispatched among staff members of the various departments of our company.


Problems caused by poor communication between departements

  1. Inefficient information sharing among different departments. Since ours is an IT company, information sharing and upgrading is of vital importance to the development of our company.
  2. Poor coordination among departments. Taking customer server as an example, due to the inefficient communication between departments, different departments present different inormation and even different attitudes to our customers. This will undoubtedly compromise our company's reputation.
  3. Low staff morale. Since the various departments have its own way of dealing with their work, they will gardually fall into the habit of taking their own responsibilites, sometimes even to the detriment of the benefits of the other departments. All this will inevitable result in low staff morale. 


Ways of improving communication between departments

  • Initiation of the weekly session on the afternoon of Friday, which shall be attended by line managers of the various departments.
  • Introduction of modern computer software — OA (Office Anywhere): the staff members can send each other e-mails, chat on OA, and even play games at their leisure hours.


Benifits of improved communication between departments

  • More efficient information sharing, hence better work efficiency
  • Adopt a unified attitude towards outsiders, for example, customers, so as to improve company image
